If you’re managing a fleet these days, you’ve probably heard about AI tools changing the game. Geotab’s ACE is one of those tools that can save you serious time on the daily tasks that eat up your schedule. But like any powerful tool, knowing how to use it makes all the difference.
We’ve put together a walkthrough featuring Sajad, the product manager for ACE at Geotab, who shares the most common issues customers run into and how to avoid them. Watch the video above for live demonstrations, or read on for the key takeaways.
What ACE Actually Does
Think of ACE as your data assistant that’s always on call. It has access to your trips, GPS logs, exceptions, device data, driver information, safety records, and all your asset and driver KPIs. That’s a lot of information at your fingertips – but here’s the catch: it can only work with what it can see.
ACE doesn’t have access to everything in your Geotab system. Hours of service data, manually entered information like license plate numbers, and certain compliance-related data aren’t in its wheelhouse. Knowing what it can and can’t access helps you ask better questions and get better answers.
The Secret to Getting Good Answers: Be Specific
The biggest mistake we see? Being too vague. When you’re asking ACE a question, specificity is your friend. Instead of “how much did my trucks drive last month,” try “how many days was each asset used in October 2024.” The more details you provide – exact dates, full names, specific rules – the better your results. Sajad demonstrates this in the video with real examples you can follow.
The Name Game: Use the @ Sign
Here’s where things get really handy, and it’s worth watching the video to see this feature in action. If you’re like most fleet managers, you’re not going to remember every exact asset name, driver name, or rule name in your system. That’s where the @ sign comes in.
Type @ and start entering what you remember. Looking for that truck with “blue” in the name? Type @blue and ACE will show you all matching assets. Click on the one you want, and it’s added to your question with the exact name. No more guessing, no more “close enough” that gets you the wrong data.
This works for zones, rules, and anything else with a name. Got multiple speeding rules? Use @ to pick the exact one you’re looking for instead of letting ACE guess. The video shows exactly how this looks in practice.
The Confirmation Feature
ACE has a smart confirmation system that kicks in when you use partial names – you’ll see this demonstrated clearly in the video. Ask about “Big” and it’ll show you options: is that an asset, a driver, a location? Pick what you meant, and ACE will understand exactly what you’re asking for.
You’ll see light blue pills for confirmed matches and dark blue pills when ACE needs you to choose between options. It’s a simple way to make sure you’re both on the same page before getting your answer.
It’s a Conversation, Not a One-Shot Deal
Here’s what makes AI different from regular software: you can refine your answers. Got your initial results but want to add group names? Just ask. Want the data formatted differently? Tell ACE. Watch the video to see how Sajad refines his queries to get exactly the right format.
Beyond Data: Knowledge Questions
ACE isn’t just about pulling reports. It can answer “how-to” questions about Geotab too. Need to know how to set up a GO device? ACE can walk you through it with personalized guidance.
The bottom line? ACE can handle a lot of the routine data work that takes up your day. Watch the full video above for detailed demonstrations, and remember: give ACE specific information, use those @ mentions, and don’t be afraid to follow up until you get exactly what you need.
